How we handle your data when you book a ride with us.

In case of differences between translations, the Dutch version prevails.

Who are we?

Taxi Vlaanderen, Overleiestraat 73, 8500 Kortrijk, VAT BE0804.851.065, is responsible for processing your personal data. Questions? Email info@taxivlaanderen.com or call +32 486 12 27 23.

What data do we collect?

  • Name, email address and mobile number
  • Pick-up address, destination, date and time of your ride, number of passengers and suitcases
  • Flight number and notes, if you fill them in
  • Payment status and method (we don't see your card or bank details; Mollie processes them)
  • Your language preference

That's all we ask. You don't need an account to book.

What do we use them for, and on what basis?

  • Planning, carrying out and paying for your ride, and contacting you about it (e.g. in case of a delay or a change). Basis: performance of the contract you conclude with us.
  • Our accounting (amount, date and booking number). Basis: a legal obligation.
  • Securing the website (e.g. preventing misuse of the management dashboard). Basis: our legitimate interest.

We don't send advertising, build profiles or make automated decisions about you. We never sell your data.

Who receives your data?

  • The driver who carries out your ride (our own driver or a partner driver): your name, mobile number, addresses, time and remarks, so they can pick you up. They receive these ride details in a message in the Telegram app.
  • Mollie B.V. (Netherlands) for online payment.
  • Cloudflare hosts the website and the database (stored in Western Europe).
  • Resend sends our confirmation emails (from Ireland).
  • Photon (komoot, Germany) and OpenStreetMap services only receive the address text you type, to find the address and calculate the distance. This goes through our server: they don't receive your name or IP address.

Agreements on the protection of your data apply with these service providers. Cloudflare and Resend are US companies and Telegram is based outside the European Union; such transfers are covered by the GDPR safeguards (the EU-US Data Privacy Framework or the European Commission's standard contractual clauses).

How long do we keep it?

  • A booking that was never paid: at most 30 days.
  • Your ride details: up to 24 months after the ride. After that we automatically erase your name, contact details, addresses and remarks.
  • We keep the amount, date and booking number, without your name, for as long as accounting law requires.
  • Copies of sent emails and messages: at most 6 months.

Cookies and external content

The website uses no tracking or advertising cookies and no analytics services. There is only a functional cookie that remembers your language choice (1 year), and the management dashboard uses a necessary session cookie to log in. Fonts are loaded from our own server. The map on the contact page comes from OpenStreetMap and only loads when you click it.

Your rights

You have the right to access, rectify, erase, restrict and port your data, and you can object. Email us at info@taxivlaanderen.com; we reply within one month. Not satisfied? You can lodge a complaint with the Belgian Data Protection Authority, Rue de la Presse 35, 1000 Brussels (dataprotectionauthority.be).

Security

All connections to the website are encrypted (https). Only we have password-protected access to the management dashboard. If a data breach ever poses a risk to you, we report it to the Data Protection Authority and, where necessary, to you.
